From landlords, for landlords

Take back control of your rentals.

We're a small consultancy team with our own rental portfolio. We built our own AI system to run it, and now we build them for other landlords: tenants, repairs, certificates, paperwork and deals, made around how you work and owned by you.

1. Where are you now?

2. Tick what you'd like

Pick a stage above and we'll tick a sensible starting set. Change anything. Every piece is optional and made in your name.

Who we are

Landlords who built their own system

sift.house is a small consultancy team with our own rental portfolio. Nothing off the shelf ran it the way we wanted, so we built our own system. It worked, and now we're sharing it.

We've done it ourselves

Rent chasing, gas safety dates, repairs at midnight and deals that nearly added up. We built our system to take all of that off our own plate before we offered it to anyone else.

We build it with you

You don't need to be technical. We set everything up around how you already work, show you how it runs and keep it running. Start with one piece or have the lot.

You own it, start to finish

Your accounts, your data, your criteria. We never hold your logins, never sell your data and never take a finder's fee. Stop any time and take everything with you.

Three flats in Whitley Bay, a busy family in Morpeth, an HMO in Leeds, six homes run from Riyadh and more. What each landlord needed, what we built and what it looks like.

What a system like yours looks like

Three pieces most landlords start with: a dashboard, tenant messages that send themselves, and paperwork in your own brand. All examples, all made-up names.

Your dashboard

Build your own property dashboard

Every property, tenant, payment and deadline in one place, laid out the way you think about your portfolio.

  • Rent due, received and late, at a glance
  • Gas safety, EICR and EPC dates tracked for every home
  • Rent reviews, mortgage fix end dates and empty periods flagged early
  • A monthly summary email, so you never have to log in to stay on top

Four ways the same five homes could look. Made-up figures; yours is built the way you like to work.

Your tenants

Manage your tenants automatically

Friendly, timely messages go out on WhatsApp or email without you lifting a finger, and replies update your dashboard.

  • Rent reminders before the due date, and a polite nudge if it's late
  • Gas safety and inspection visits booked and confirmed
  • Repair requests logged with photos, straight into your system
  • Rent review notices drafted with the right notice period, so nothing is missed

Example messages. You choose the wording, timing and tone.

Your paperwork

Tenancy paperwork in your own brand

Agreements, notices and welcome packs carry your name and logo, not a software company's.

  • Your logo, colours and contact details on every document
  • Sent for e-signature and stored against the right property
  • Start dates, rent and deposits pulled straight from your dashboard
  • Wording from your solicitor or a trusted landlord template, kept up to date

Who we are

sift.house helps landlords build their own property systems. If you have a question about your information, email hello@sift.house.

What we collect

Only what you give us in the free call form: your name, email address, phone or WhatsApp number if you add one, how many properties you have, what you would like help with and anything you write in the message box.

Why we use it

To reply to you, arrange a call and talk about what we could build for you. We rely on our legitimate interest in answering your enquiry, and on taking steps you have asked for before any agreement. We will not add you to a mailing list or send you marketing unless you ask us to.

Who else handles it

We never sell or share your details. A few services help us run the site, and they only handle your information to do that job:

Some of these services may process data outside the UK. Where they do, they use the safeguards UK data protection law requires.

How long we keep it

If we don't end up working together, we delete your enquiry within 12 months. If we do, we keep what we need for as long as we work together and for any period the law requires afterwards.

Your rights

You can ask to see the information we hold about you, correct it, delete it or object to how we use it. Email us and we'll respond within one month. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
